Who we are

Unify Scale provides AI automation services for UK property agencies. The controller of personal information described in this policy is Nabil Lavly trading as Unify Scale. For privacy questions or to exercise your rights, email unifyscales@gmail.com.

Information we receive

We may receive your name, email address, telephone number, company, role, meeting preferences and anything you choose to include in an email or Calendly booking. We may also receive basic technical and security information, such as IP address, browser type, timestamps and requested pages, from our hosting provider.

Most information comes directly from you. When you book a meeting, Calendly also provides us with the booking details you submit.

Why we use information and our lawful bases

  • Enquiries and meetings: to reply, arrange a call and take steps you request before entering a contract. Our lawful basis is taking steps at your request before a contract and, where that does not apply, our legitimate interest in responding to prospective customers.
  • Proposals and services: to scope, quote for and provide requested services. Our lawful bases are contract and taking steps before a contract.
  • Business records: to maintain appropriate contractual, tax and accounting records. Our lawful bases are legal obligation and our legitimate interest in managing and defending our business.
  • Website security: to protect the site, diagnose faults and prevent misuse. Our lawful basis is our legitimate interest in operating a secure and reliable website.
  • Calendly technologies: Calendly provides its own cookie choices within the embedded booking experience.

Our legitimate interests

Where we rely on legitimate interests, those interests are running and protecting the business, responding to genuine enquiries, improving our service and establishing or defending legal claims. We consider the necessity and impact of the processing and do not use this basis where your rights and interests override ours.

Who receives information

We use service providers only where needed to operate the business. These currently include Calendly for scheduling, Google for the Gmail inbox used to receive enquiries, and the provider that hosts this website once deployed. They may process information under their own terms and privacy notices. We may also disclose information where legally required or necessary to establish or defend legal rights. We do not sell personal information.

Calendly

The booking page includes an embedded Calendly scheduling service. Calendly may receive technical data and the details you enter, and may use cookies, local storage and similar technologies. Calendly displays its own cookie controls within the booking experience. Calendly acts as a service provider for scheduling information and may act as a separate controller for some cookie and service data. Read Calendly’s privacy notice and our cookie notice.

International transfers

Some providers, including Calendly and Google, may process information outside the UK. Where UK data-protection law requires safeguards, we rely on the provider’s applicable UK adequacy arrangements or approved contractual safeguards, such as the UK International Data Transfer Addendum. You can ask us for more information about the safeguards relevant to your data.

How long we keep information

  • General enquiries that do not become a client relationship: normally up to 12 months after the last meaningful contact.
  • Booking details: normally up to 12 months, unless they form part of a client record.
  • Contracts, invoices and core client records: normally six years after the end of the relevant relationship or accounting period where required for tax, legal or contractual purposes.
  • Security and hosting logs: according to the hosting provider’s configured retention period and only for as long as reasonably necessary for security and fault diagnosis.

We may keep information longer where required by law, a dispute or a legal claim, and delete or anonymise it when it is no longer needed.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, object to processing, and receive information you provided in a portable format. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing.

Your right to object: you can object at any time to direct marketing. You may also object to processing based on our legitimate interests, and we will stop unless we have compelling legitimate grounds or need the information for legal claims.

Complaints

Please contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

Providing information and automated decisions

You are not legally required to provide personal information, but we cannot reply or arrange a meeting without the relevant contact and booking details. This website does not make decisions about you using solely automated processing and does not carry out profiling that produces legal or similarly significant effects.

Changes to this policy

We will update this policy when our providers or data practices change and publish the revised date on this page.
